This guides explains how to log in to Podium

1. How to Access Podium

Logging In to Podium

  1. Open the Login Page
  2. Enter Your Credentials
    • In the Username / Email address field, enter your registered username or email.
    • In the Password field, enter your secure password.
  3. Access the Platform
    • Click the Login button to sign in to Podium.

If You Cannot Log In

If you’re having trouble signing in, try the following steps:

  • Check your credentials: Make sure your username or email address and password are correct. Remove any extra spaces and check for capitalisation errors.
  • Clear browser data: Clear your browser’s cache and cookies, then try logging in again.
  • Try a different browser: Use another web browser (e.g., Chrome, Edge, Firefox, Safari) or update your current browser to the latest version.
  • Check your internet connection: Ensure your connection is stable and active.
  • VPN or firewall restrictions: If your organisation uses a VPN or firewall, confirm that it’s not blocking access to the Podium site.
  • Forgotten password: Click the Forgotten Password link on the login page to reset your password. (Passwords cannot be changed within Podium and must be reset using this link.)
  • Persistent issues: If problems continue, contact your organisation’s IT or admin team and include any error messages displayed on screen.

After Logging In

Once you’ve successfully logged in, you’ll be directed to the Fleet View. Here’s what you can do based on your user role:

  • Fleet View Overview:
    Displays your assigned vessels and provides access to vessel details, tracking data, and SSAS alerts.
  • Admin Users:
    Access Organisation Settings via the profile menu (top right corner) to manage users, vessels, and account configuration.
  • Editor Users:
    Edit vessel details and configurations, and access custom Views for monitoring or analysis.
  • Viewer Users:
    View the Fleet page and vessel data but cannot make any configuration changes.

Logging Out

When you’re finished, select Logout from the profile menu to securely end your session and protect your account.



2. Multi-Factor Authentication (MFA)


About Multi-Factor Authentication (MFA)


Multi-Factor Authentication (MFA) adds an extra layer of security to your Podium account. In addition to your password, you will enter a six-digit one-time passcode (OTP) sent to your registered email address when you sign in or complete certain account actions.


Set up MFA for the first time


When MFA is enabled for your organisation, existing users will continue to use their current login details until their next sign-in. During that sign-in, you will be asked to verify your identity and create a new password.

  1. Open Podium and enter your username or registered email address and password.

  1. Retrieve the six-digit OTP sent to your registered email address.

  1. Enter the OTP in Podium. The code is valid for 10 minutes.
  2. Create a new password that meets the password requirements.
  3. Select Submit.

Once setup is complete, return to the login page and sign in using your new password. You will receive an email confirming that MFA setup was successful.

If an administrator removes your Podium user and later adds the same user again, you will need to complete the MFA setup process again the next time you sign in. Follow the first-time setup steps to verify your identity and create a new password.


Sign in with MFA


After MFA has been set up, you will use an OTP each time you sign in to Podium.

  • Enter your username or email address and MFA password.

  • Retrieve the six-digit OTP sent to your registered email address.

  • Enter the OTP in Podium.
  • Select Submit.
  • You will be directed to your configured Podium landing page.


Troubleshoot OTP issues

  • No code entered: Podium will prompt you to enter an OTP before you can continue.
  • Invalid OTP: Check the code in your email and enter it again.
  • Expired OTP: OTPs sent during MFA setup and password reset are valid for 10 minutes. Request a new code if yours has expired.

OTP limits and account protection


During MFA setup and password reset:

  • You can generate a maximum of three OTPs.
  • Each generated OTP allows up to five incorrect verification attempts. If you enter a code incorrectly five times, that code will stop working and you will need to request a new one. Requesting a new code uses one of your three OTP generations.
  • If all three OTP generation attempts are used, your email address will be blocked from generating further setup or password-reset OTPs for 24 hours.

OTPs used for regular MFA sign-in are not subject to the three-OTP generation limit. You can request another sign-in OTP if required.
If your email address has been blocked and you need immediate access, contact your Podium Support representative for assistance.


Leaving an active MFA setup session


If you select Back, close the browser tab, refresh the page, or close the browser while MFA setup is in progress, Podium may display a message that an active MFA session exists. Leaving the session may require you to restart the authentication process.
Where possible, complete the MFA setup before leaving the page.


If you do not receive an OTP, your OTP has expired, or you are unable to access your account, contact Support at support@polestarglobal.com.

3. Password Management

Reset a forgotten password


If you have forgotten your password, you can reset it from the Podium login page.

  1. Select Forgot Password.
  2. Enter your username or registered email address and select Confirm.
  3. Retrieve the six-digit OTP sent to your registered email address.
  4. Enter the OTP and your new password.
  5. Select Submit.
  6. Return to the login page and sign in with your new password.

Change your password


To change your password after signing in:

  1. Open User Settings and select Change Password.
  2. Select Send one time code.
  3. Retrieve the OTP sent to your registered email address.
  4. Enter the six-digit OTP in Podium.
  5. Enter your new password and submit the change.
  6. When you see Password reset successfully!, sign in again with your new password.


4. Setting Up A Landing Page

After logging in, you are directed to the default landing page configured for your account. Typically, this is the Fleet View, which displays your assigned vessels on an interactive map. Your organisation may have configured a different landing page for all users.

Setting up your own Landing page

  1. Select the Profile Menu → User Settings
  2. Navigate to the Details tab
  3. Select the Home Page dropdown field
  4. Choose your preferred landing page from the available options
  5. Select Update User

Setting the Landing Page for Other Users

This functionality is only available to admin users.

  1. Select the Profile Menu → Organisation Settings
  2. Select Users
  3. Select Manage for the user whose landing page you want to change
  4. Select Impersonate and re-enter your password when prompted
  5. Follow the steps detailed in the above section, Setting Your Own Landing Page

What are the other Landing Page options?

Alongside the Fleet page, the Home Page dropdown will show all currently active Views created from the Views page. This includes Views that you may have created to monitor specific vessels or review particular data sets.
